TERMS & CONDITIONS

Please read these Terms & Conditions carefully before registering for or participating in Sets in the Sun. By contacting us to register, submitting an online registration form, accessing our website, or attending the tournament, you agree to be bound by these terms. If you are registering on behalf of a minor, you agree to these terms on the minor’s behalf.
1. About the Tournament
Sets in the Sun Beach Volleyball Tournament (“Sets in the Sun,” “we,” “us,” or “our”) is an independently organized beach volleyball tournament held annually in Sylvan Lake, Alberta, operating under current Volleyball Alberta beach volleyball rules. The event includes tournament play, on-site vendors, food and beverage, and sponsor activations.
These Terms & Conditions govern your use of our website, your registration, and your participation in or attendance at the tournament and all associated activities. They are in addition to, and do not replace, the Assumption of Risk and Waiver of Liability Agreement that all participants (and parents/guardians of minor participants) are required to sign prior to participation.
2. Eligibility
Participation is open to registered teams who meet the age and division requirements for each event. By registering, you confirm that:
• All athletes on your team meet the eligibility requirements for the division entered
• All information provided during registration is accurate and complete
• A signed Waiver of Liability will be submitted for each athlete prior to participation
• Where athletes are under 18, a parent or guardian has consented to their participation and agrees to these terms on their behalf
3. Registration
Registration for Sets in the Sun may be completed in one of two ways:
Online Registration: When online registration is available, teams complete and submit the registration form, waiver, and payment through our website. Registration is confirmed upon receipt of completed documentation and full payment.
Direct Registration: When online registration is not available or capacity is managed directly, teams contact us at info@setsinthesun.com to initiate registration. A waiver and payment form will be sent by email. Registration is confirmed upon receipt of all completed documents and full payment.
In either case, a registration is not considered confirmed until all required documentation has been received and payment has been processed. We reserve the right to decline or cancel a registration at our discretion, including where division capacity has been reached or eligibility requirements are not met. In such cases, a full refund will be issued.
Team substitutions are permitted prior to the event. Please contact us at info@setsinthesun.com as early as possible to arrange any changes to your registered roster.
4. Payment
Registration fees are due at the time of registration confirmation. Fees are stated in Canadian dollars. Accepted payment methods will be communicated at the time of registration (online payment or e-transfer, as applicable).
Your registration is not guaranteed until payment has been received and confirmed. Sets in the Sun is not responsible for payment errors, failed transactions, e-transfer delays, or issues caused by third-party payment processors. If you do not receive a confirmation within 3 business days of submitting payment, please contact us at info@setsinthesun.com.
5. SMS Communications
By providing your cell phone number during the registration process, you consent to receive SMS text messages from Sets in the Sun related to your tournament registration and participation. The following terms apply to all SMS communications:
Message & Data Rates: Message and data rates may apply depending on your mobile carrier and plan.
Message Frequency: Message frequency may vary. You will typically receive messages around key dates such as registration confirmation, schedule distribution, and tournament day.
Opt-Out: To unsubscribe from SMS messages at any time, reply STOP to any message from us. You will receive one confirmation message and will then be removed from our list. Opting out will not affect your tournament registration.

SMS communications from Sets in the Sun are strictly informational and limited to tournament-related purposes: registration confirmations, schedules, day-of logistics, and weather or cancellation updates. We do not use SMS for marketing or promotional messaging.
6. Cancellations & Refunds
Tournament planning involves significant upfront costs — court rentals, staffing, equipment, medals, supplies, and administration — committed well in advance of the event. The following refund schedule applies to team cancellations:
30 or more days before the event: Full refund
14–29 days before the event: 50% refund
Within 14 days of the event: No refund
Teams who are unable to attend are strongly encouraged to substitute another athlete rather than cancel outright. Last-minute cancellations are not eligible for a refund regardless of reason, as costs have already been committed on behalf of your registered team.
If Sets in the Sun cancels the tournament in full before it begins, all registered teams will receive a full refund. If the tournament is cancelled or significantly shortened after it has begun due to severe weather or unsafe conditions, a partial refund of 25–50% will be issued based on how much of the event was completed. Even in cancellation, the organization incurs substantial non-recoverable costs.
7. Weather & Event Changes
Sets in the Sun is an outdoor event designed to run in a wide variety of Alberta summer weather conditions, including wind, cloud cover, and light rain. The tournament will only be delayed or cancelled in cases of lightning or standing water that makes courts genuinely unsafe for play.
If a team chooses not to participate due to non-severe weather conditions while the tournament is safely operating, no refund will be issued.
We reserve the right to modify the tournament schedule, format, structure, or any associated programming at any time for safety, operational, or other reasonable reasons. We will communicate any significant changes to registered participants as promptly as possible.
8. Participant & Spectator Conduct
All participants, parents, guardians, coaches, and spectators are expected to conduct themselves respectfully and in a sportsmanlike manner at all times. Sets in the Sun is a youth tournament and we are committed to maintaining a safe, welcoming, and positive environment for all athletes, families, and guests.
The following will not be tolerated and may result in immediate removal from the tournament and venue without refund:
• Abusive, threatening, or disrespectful behaviour toward athletes, officials, staff, vendors, sponsors, or other participants
• Interference with gameplay or officiating by parents or spectators
• Any conduct that endangers the safety or wellbeing of participants, guests, or venue staff
• Violation of tournament rules or venue policies as communicated by officials or event staff
Sets in the Sun reserves the right to remove any individual from the tournament venue for conduct deemed disruptive, disrespectful, or unsafe, at the sole discretion of tournament officials or event staff.
9. Tournament Rules & Officials
All games are played under current Volleyball Alberta beach volleyball rules. Games are self-officiated, with referees on-site throughout the tournament to provide assistance and resolve disputes. Playoff and medal matches will have assigned referees. Decisions made by tournament officials are final.
Detailed tournament rules and scheduling information will be communicated to registered participants prior to the event. Additional rules may be communicated on-site by tournament officials.
10. Vendors, Food & Beverage
Sets in the Sun may feature on-site food, beverage, and vendor activities. Vendors operating at the event are independent third parties and are not employees or agents of Sets in the Sun. We are not responsible for the quality, safety, pricing, or conduct of any third-party vendor.
Any purchases made from on-site vendors are transactions between the purchaser and the vendor directly. All food, beverage, and vendor-related concerns should be directed to the vendor at the time of purchase.
Sets in the Sun reserves the right to approve, deny, or remove any vendor from the event at its discretion.
11. Sponsors & Partners
Sets in the Sun may feature sponsors and partners who contribute to the event. Sponsor branding, activations, and materials may be present at the venue. By attending the tournament, you acknowledge that sponsor branding and promotional activities are part of the event experience.
Sets in the Sun is not responsible for the products, services, claims, or conduct of any sponsor or partner organization. Sponsor involvement does not constitute an endorsement of their products or services by Sets in the Sun.
12. Assumption of Risk & Liability
Participation in beach volleyball and all related tournament activities involves inherent physical risks. All participants (and parents/guardians of minor participants) are required to sign a separate Assumption of Risk and Waiver of Liability Agreement prior to participating in any tournament activity.
To the fullest extent permitted by applicable law, Sets in the Sun, its organizers, volunteers, officials, sponsors, vendors, and venue operators shall not be liable for any injury, loss, damage, expense, or claim of any kind arising from participation in or attendance at the tournament, or from use of this website.
13. Photography & Media
By registering for, participating in, or attending Sets in the Sun, participants, parents, guardians, and spectators acknowledge that photography and video recording will take place at the event. Participants and their parents/guardians grant Sets in the Sun permission to use images and recordings in which they appear for promotional purposes including social media, website content, and marketing for future events. No compensation will be provided.

14. Intellectual Property
All content on the Sets in the Sun website — including text, graphics, logos, images, and design — is the property of Sets in the Sun and may not be copied, reproduced, distributed, or used without prior written permission.
15. Website Use
You agree to use this website only for lawful purposes and in a manner that does not infringe the rights of others or restrict the use and enjoyment of the website by others. We reserve the right to modify, suspend, or discontinue any part of the website at any time without notice.
While we make every effort to ensure the accuracy of information on this website, Sets in the Sun makes no warranties regarding the completeness, accuracy, or timeliness of any content. Tournament details including schedules, fees, divisions, and formats are subject to change.
16. Privacy
Your personal information is collected and used in accordance with our Privacy Policy, which is incorporated into these Terms & Conditions by reference. By using our website or registering for the tournament, you consent to the collection and use of your information as described in that policy. 17. Governing Law
These Terms & Conditions are governed by and construed in accordance with the laws of the Province of Alberta and the federal laws of Canada applicable therein. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of Alberta.
18. Changes to These Terms
We may update these Terms & Conditions from time to time. The effective date at the top of this page will reflect the most recent revision. Continued use of our website or participation in the tournament following any update constitutes your acceptance of the revised terms.
